Effective 10 October 2026 · Version 2026-10-10

This note explains, in plain language, what information AI for Educators holds about you, why we hold it, who can see it, and the choices you have. This is a community for adult educators in South Africa; it is not intended for children.

Browsing and membership

Browsing the homepage, selected headlines and short story previews is open to everyone and needs no account. Reading full articles, the briefing archive, classroom resources, teacher stories and the staffroom — and saving bookmarks or contributing your own story, resource or response — requires a free account.

Account information we collect, and why

When you create an account we collect:

  • Your name and email address (required) — to identify your account, sign you in, and contact you about your membership or contributions.
  • Optional educator details: school name, province and grade(s) taught — you may leave these blank. They help us understand the community and, where you choose, form part of your public credit on a contribution.
  • Your email digest preference(weekly, or off) — so we only email you a digest if you have asked for one.
  • An optional AI archetype and profile picture, if you take the quiz — to personalise your dashboard.
  • The articles you bookmark — so you can find them again.

We do not collect identity numbers, payment card details or financial information. Signing in does not subscribe you to any marketing email — the newsletter is a separate, optional choice.

Contributions you choose to make

If you contribute a teacher story, a classroom resource or a staffroom response, we also hold what you submit so that it can be reviewed and, if approved, shown to members. This can include:

  • the text of your story, resource or response;
  • any screenshots or files you attach;
  • the contact name and email you give on a contribution form (kept private, seen only by reviewers);
  • how you asked to be credited publicly, and the permissions you granted (for example, whether an excerpt may appear in a public preview, or how a resource may be reused);
  • moderation records — the version you submitted, when you granted permission, which terms version you accepted, and reviewer notes and decisions — so that review and publishing are accountable.

Who can see your information

  • The public can see what is on the open pages: headlines, short previews, and — only where you gave that separate permission — a short excerpt of an approved contribution.
  • Signed-in members can see approved, published articles, resources, teacher stories and staffroom responses, together with the public credit you chose. A response marked “anonymous” is shown to members without your name.
  • Administrators (reviewers) can see submissions awaiting review, the private contact details on a contribution, moderation records, and member account details needed to run the community (for example to approve or remove a member). An “anonymous” staffroom response is still identifiable to administrators.

Publishing to signed-in members is not the same as keeping something confidential. Once a contribution is visible to members, we cannot guarantee that another person will not read, copy, screenshot or share it. Please share only what you are comfortable having other educators see.

How your password and account are protected

  • Your password is stored only as a one-way hash (using bcrypt). A one-way hash is not encryption and cannot be reversed back into your password — we never see or store your password as readable text.
  • Full articles, member content and contribution files are behind sign-in. Uploaded screenshots and files are stored privately and are served only to people allowed to see them — they are not available from a public, guessable link.
  • Repeated failed sign-in and submission attempts are rate-limited to help protect accounts from abuse.

No online service can promise perfect security, and we do not. We take reasonable steps to protect your information and keep it behind access controls.

The services we use to run this community

We keep the number of service providers small. To operate the community we use:

  • Managed application hosting and database provided by Abacus.AI, which runs the website and stores your account and contribution data.
  • File storage on Amazon Web Services (Amazon S3) for uploaded screenshots and resource files. This storage is located in the United States, so those files are processed internationally.
  • Email delivery through the Abacus.AI notification service, used to send administrator alerts, account emails and — if you opt in — the digest.

We do not use third-party advertising, web-analytics or tracking tools on this site, and we do not place advertising or tracking cookies. The only cookies used are the essential ones that keep you signed in. Because some processing (such as file storage) happens outside South Africa, your information may be transferred to and stored in other countries.

How your information is used

We use your information only to run your account, show you relevant AI-in-education news and community content, review and publish contributions you choose to make, and — if you opt in — send the digest. We do not sell your information, and we do not share it with third parties for their own marketing.

How long we keep it, and deletion

  • Account information is kept for as long as your account is active. If you ask us to delete your account, we remove your account details.
  • Published contributions remain visible to members until they are unpublished or removed. You can ask for a contribution to be corrected or taken down at any time.
  • Submissions that are declined or withdrawn, and the files attached to them, are removed from the active review area once they are no longer needed.
  • Routine backups may keep copies of data for a limited period before they are overwritten, so a deletion may take a little time to work through all copies.

Your choices and your rights

You can update your details or turn the email digest on or off at any time from your profile page. Under South African data-protection law (POPIA) you may also ask us to:

  • confirm what personal information we hold about you and give you access to it;
  • correct information that is wrong or out of date;
  • delete your account and personal information;
  • withdraw a contribution or a permission you previously gave.

To make any of these requests, email [email protected]. Please note one practical limit: if a resource or screenshot was already downloaded or shared by someone else while it was visible, we cannot retrieve copies that are already outside the site.

Who is responsible, and how to complain

The person responsible for this community and your first point of contact for any privacy question is Laurietta Goosen, reachable at [email protected].

If you have a concern about how your personal information is handled and you are not satisfied with our response, you may complain to the Information Regulator (South Africa), which oversees POPIA. Their contact details are published at inforegulator.org.za.
